JOB SUMMARY

The Legal Executive Assistant provides high-level, specialized support to attorneys and leadership, ensuring seamless daily operations and exceptional organizational efficiency. In this role, you will manage complex calendars, prepare and file legal documents, coordinate attorney licensing and CLE compliance, support case preparation, and handle confidential client and case information with the utmost professionalism and discretion.

This position requires exceptional attention to detail, strong judgment, and the ability to anticipate needs in a fast-paced, trauma-informed legal environment. The ideal candidate is proactive, highly organized, and experienced in civil litigation support, with the ability to balance executive-level administrative responsibilities and legal support tasks with accuracy, reliability, and care.

***This position is full-time, in office 4 days a week and 1 day remote, Monday–Friday, 8:30 AM–5:30 PM.

Essential Functions

Executive Legal Support

· Manage attorney calendars, including litigation deadlines, court appearances, internal meetings, and follow-up tasks

· Coordinate travel arrangements, logistics, and itineraries for attorneys and leadership

· Prepare fee agreements, retainer letters, and other client-facing documents

· Track and manage attorney licensure renewals and bar dues across multiple jurisdictions

· Calculate, track, and submit CLE credits for all states where attorneys are licensed

Litigation & Document Support

· Prepare, format, and electronically file pleadings, correspondence, discovery, and other legal documents in Federal and State courts

· Assist with trial, hearing, and mediation preparation, including assembling binders, exhibits, and case materials

· Draft, proofread, scan, and distribute legal and administrative documents with a high degree of accuracy

· Maintain client charts, case files, and document organization systems to ensure easy access and compliance with firm standards

Office & Administrative Support

· Process incoming and outgoing mail, including scanning, routing, and logging documents

· Support attorneys with day-to-day administrative needs and special projects as assigned

· Assist with general office operations to ensure smooth functioning and effective communication across the team

· Help maintain a positive, collaborative work environment aligned with JAA’s values and trauma-informed approach

Work Experience

· Five or more years of civil litigation experience in a legal or professional services environment required

· Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat required

· Experience with SharePoint or similar document management systems preferred

· Prior experience supporting senior attorneys or executives strongly preferred

Physical Demands and Work Environment

The physical demands of this position are consistent with a professional office environment. The role requires prolonged periods of sitting, regular use of a computer and telephone, and the ability to move throughout the office, including between floors as needed. Occasional standing, walking, and participation in team meetings or firm events may be required.

While no heavy lifting or physically strenuous activity is expected, the role may occasionally involve lifting or moving files, binders, or small office boxes (typically up to 10–15 pounds). All Jeff Anderson & Associates office locations are fully wheelchair accessible, and reasonable accommodations can be made to perform the essential functions of the position.

Annual Salary: $82,000-$118,000
